Clear reporting

Make observations useful to the people who act on them.

A useful report separates what was visible, what was checked and what happened next. Agree the format and delivery arrangement around the decisions your property team needs to make.

A consistent record

The details that make an observation actionable.

Reports should give a reader enough context to understand an observation without treating an interpretation as a proven fact. Use agreed property and camera names, a clear time reference and concise descriptions of visible activity.

When and where

Observation date, time, time zone, property identifier and relevant monitoring area.

What was visible

A factual description, together with the limits of what could be verified.

What happened next

The action taken, contact attempts where applicable and current follow-up status.

Observation versus conclusion

Record uncertainty instead of filling the gaps.

A report can state that a person moved an item without asserting that a theft occurred. It can record that a door appeared open without claiming that its access system failed. This distinction makes the record more useful for a responsible follow-up.

If a view is obstructed or a sequence is incomplete, that limitation belongs in the record. Identification, intent and ownership should not be inferred from unclear footage.

Delivery and ownership

Agree who receives reports and what they do with them.

Confirm the reporting frequency, authorised recipients, delivery method and follow-up owner during onboarding. Routine reports and urgent escalation serve different purposes and should have separate expectations.

Images, video exports, retention periods and access to historical records depend on the agreed service and available systems. A sample layout on this website demonstrates a reporting approach; it is not a customer record or a promise of a particular software portal.

Questions, answered

Clear expectations.
From the beginning.

Every property is different. The right scope starts with the right questions.

Understand the process
Will reports include screenshots or recordings?

Only where agreed, technically available and authorised. The inclusion, handling and retention of footage need to be confirmed for the property.

How often will we receive a report?

Reporting frequency and format are agreed with NETEX. This website does not prescribe a universal schedule for every property.

Is an illustrative report evidence of a real customer incident?

No. Any demonstration report is a fictional layout example, clearly labelled to explain the fields and possible presentation.
